Batch Management
Batch management is the recording, tracking and traceability of goods in batches – that is, in production-identical lots that share a common batch number. It records which quantity of which batch was purchased, stored and sold to which customer, and when, making the path of every lot fully traceable.
Batch management is the systematic recording and traceability of items that are managed in batches – that is, in lots from a common production run, delivery or processing step that carry a uniform batch number. Every receipt and issue is not only posted by quantity, but additionally assigned to the respective batch. As a result, it is known at any point in time which batch a stock originates from, where it is stored and – when sold or consumed – into which orders, products or customers it has flowed.
Batch management is mandatory or strongly advisable wherever products must be traced and specifically recalled in the event of a fault or damage: in food, pharmaceuticals, cosmetics, chemicals or for safety-relevant technical goods. Unlike pure stock management, which only carries forward quantities, batch management adds an additional layer of identity. It answers not only "how much is there", but "which lot is it, where does it come from and where has it gone" – the basis of any batch traceability.

How batch management works
Batch management builds on ordinary stock management and refines it: for batch-managed items, each stock is not carried as an anonymous quantity, but split into partial stocks per batch. On goods receipt, each line item is assigned a batch number – either adopted from the supplier or issued internally. From that moment the batch "sticks" to the goods: with every put-away, transfer, picking and shipment, the system records which batch was moved in which quantity.
For the assignment to work in day-to-day operations, the batch is usually encoded on the goods or packaging – often as a barcode or GS1 Data Matrix that, alongside item number and quantity, also contains the batch number and best-before date. When scanned in the warehouse, the batch is recognized automatically and assigned to the posting. This creates a continuous data record documenting the entire life cycle of every batch, without manual extra effort.
Batch number and batch formation
The batch number is the unique key of a lot. What is grouped into a batch is defined by the business: for purchased goods often the manufacturer's delivery batch, in production typically a production order, a vessel batch or a day's production. The decisive point is that a batch represents a range of uniform quality or origin – because in a recall it is precisely this unit that is blocked or retrieved. Batches formed too coarsely lead to unnecessarily large recalls in an emergency, while batches formed too finely cause high administrative effort.
Batch traceability: forward and backward
The actual purpose of batch management is traceability. Two directions are distinguished. Backward tracing (tracing) answers which intermediate products and delivery batches a particular finished product was made from – useful for determining the cause and the affected raw material in the case of a defective batch. Forward tracing (tracking) answers into which products, orders and to which customers a particular incoming batch has flowed – the basis for notifying only the affected recipients in a targeted recall.
In practice, this proof must be deliverable quickly and completely. The "one step back, one step forward" principle requires every market participant to know at least their direct upstream supplier and their direct customer per batch. Good batch management does more: it links the lots across all processing stages, so that from a single batch number the entire chain can be reconstructed at the push of a button – from raw-material goods receipt to the delivered end customer.
Why batch management matters
The benefit is first of all legal: in many industries, traceability is required by law. In the food sector, the EU General Food Law Regulation (EC) No 178/2002 requires traceability across all stages of the chain; in the pharmaceutical sector, the German Medicines Act and GMP rules prescribe complete batch documentation and release. Without functioning batch management, compliant operation is simply not possible here.
Economically, batch management limits risk. If a quality defect occurs, the recall can be precisely narrowed down to the affected batch, instead of pulling the entire assortment from the market as a precaution. This saves costs, protects the brand and shortens response time. On top of this comes operational control: because a best-before or expiry date is also kept for each batch, the system can, following the FEFO principle (First Expired, First Out), automatically issue the batch with the nearest expiry date first, thereby minimizing spoilage and write-offs.
Batch management in the ERP system
In an ERP or inventory management system, batch management is a property that is activated per item in the item master. If an item is flagged as batch-managed, the system enforces the entry of a batch on every posting – a goods receipt without a batch number is prevented just as much as a shipment without a batch assignment. This keeps the data chain closed without employees having to think about the documentation.
Batch management is interlinked with almost all modules: purchasing records incoming batches, production links raw-material with production batches via the bill of materials, the warehouse moves and picks batch-accurately, sales documents the shipped batch on the delivery note and invoice. Quality-management functions additionally allow entire batches to be blocked, released or put into quarantine. In complex warehouses, a connected warehouse management system (WMS) handles batch-accurate location and picking control and reports the movements back to the inventory management system.
Distinction: batch and serial number management
Batch and serial number management pursue the same goal – traceability – at different levels of granularity. Batch management identifies a quantity of similar units jointly via a batch number; the individual pieces within the batch are not distinguishable. This suits bulk goods and mass-produced items such as food, chemicals or cosmetics, where the lot matters, not the individual piece.
When batch, when serial number
Serial number management, by contrast, assigns each individual specimen a unique number and tracks it individually – common for electronics, machines or high-value equipment, where warranty, repair history and theft protection are tied to the individual piece. Rule of thumb: batch, when a quantity of uniform quality is sufficient and individual pieces are not relevant; serial number, when every specimen must remain uniquely identifiable throughout its entire life cycle. Some items combine both – a serial number that is additionally assigned to a production batch.
Example
Example: food manufacturer with a recall scenario
A mid-sized manufacturer of fruit spreads sources raw materials from several suppliers and produces in daily batches. Each delivery is given an incoming batch on goods receipt, each cooking batch a production batch that is linked to the raw-material batches used via the bill of materials. On sale to retail, the shipped batch is documented on the delivery note.
When a raw-material supplier reports an ingredient batch contaminated with foreign bodies, the ERP system determines within minutes which production batches this ingredient flowed into and to which retail customers the affected jars were delivered. Instead of recalling the entire assortment, the manufacturer informs only the affected customers in a targeted way and blocks the batches still in the warehouse. The recall stays tightly contained, and the proof to the food-safety authority is complete.
