An open-source ERP is an ERP system whose source code is openly available and may be used, adapted and redistributed under a free license – without a classic, user-based license fee paid to a single vendor.

The strengths of an open-source ERP lie in adaptability, transparency and independence. Because the code is open, processes can be deeply individualized and edge cases mapped that standard software fails to handle. The risk of vendor lock-in falls: even if a provider drops out, the code remains available and can be maintained further by other service providers. Waiving license fees also noticeably lowers upfront costs. Growing companies in particular appreciate that the software can evolve with their own requirements instead of hitting rigid functional limits – the budget spent flows into their own solution rather than into recurring usage rights.

With proprietary software you acquire a usage right, while the code stays closed and adaptations are only possible within the scope the vendor provides. An open-source ERP reverses this relationship: the code is free and the depth of customization is high, but in return the company bears more self-responsibility.

The distinction from the delivery model is important. Open source describes the license; cloud or on-premise describe the operation – both can be combined. An open-source ERP can run classically in-house (on-premise) or as a hosted cloud variant at the provider. Conversely, proprietary systems exist both as cloud and as on-premise products. The question "open or proprietary" is therefore a different one from "cloud or on-premise".

DACH specifics: compliance and operation

An open-source ERP too must meet the legal requirements in the DACH region. For accounting-relevant data, the GoBD principles apply in Germany: documents must be archived unalterably, verifiably and with a procedural documentation. The open code changes nothing about this – conformity depends on the concrete configuration and operation, not on the license.

In practice, with self-operated systems the responsibility for data protection, data residency and data backup is particularly relevant. Anyone running a community edition on their own servers or with a hoster in the EU must organize GDPR obligations, backups and security updates themselves. Many companies therefore choose a hosted enterprise variant or bring in a specialized partner who also secures operation and compliance.

A manufacturing mid-sized company with around 60 employees needs, alongside inventory management and accounting, a very specific production control that no standard system maps cleanly. Instead of expensive custom development on a closed platform, the company opts for an open-source ERP: the modular core covers purchasing, warehousing and finance, while the industry-specific production logic is added via custom modules.
