Structure and components of a storage bin

A storage bin is uniquely identified by a multi-level address. A common coding reads from coarse to fine: first the storage area or aisle, then the rack, next the level and finally the individual slot or cell. This address is more than a number – it maps the physical path to the goods and can be designed so that a worker or a vehicle reaches the bin by the shortest route. In practice, the address is additionally applied to the rack as a barcode or QR code so it can be captured with a scanner.

Beyond the plain address, a storage bin in a warehouse management system carries further properties: permitted items or product groups, maximum capacity by weight, volume or load carriers, access type, and special conditions such as refrigeration or hazardous-goods suitability. From these attributes the system derives which goods may be stored in which bin at all, and how much of them.

Types of storage bins

By function, several storage bin types are distinguished. Reserve or bulk bins hold large quantities in load units such as pallets and serve as stock reserves. Picking bins are easily reachable positions from which goods are removed for orders and which are replenished from the reserve bins. Packing, goods-receipt and goods-issue bins are special bins used for handover. This separation makes it possible to place fast-moving items within easy reach and to store slow-moving ones further back or up high.

Fixed and chaotic storage bin assignment

There are two basic principles for assigning items to storage bins. With fixed-bin storage, each item has a permanently reserved bin; the goods always sit in the same place, which makes them intuitive to find but wastes space, because an empty fixed bin cannot be used for anything else. With chaotic (dynamic) storage, by contrast, the system assigns each goods receipt to a free bin according to optimizing rules; the bin is not tied to a particular item. The seemingly disorganized state is in fact highly ordered, because the system knows at all times what is where.

When each strategy fits

Fixed storage bins suit small, manageable ranges and processes in which workers head to bins from memory. Chaotic assignment plays to its strengths with large, changing ranges and high throughput: it uses the warehouse space far better, because freed-up bins are immediately reoccupied, and it allows route-optimized put-away. However, it only works with seamless system-supported bin management – without the exact posting of every bin change, the goods would be untraceable. Many warehouses combine both principles: fixed bins for fast movers in the picking area, chaotic assignment in the reserve store.

Why the storage bin matters

The benefit of bin-level warehouse management lies in speed and accuracy. Anyone who knows the exact storage bin of every item saves the single longest time component in picking – searching and travel time. Instead of walking down a rack, a pick list guides the worker by the shortest route from bin to bin. This lowers the processing time per order, reduces mispicks and increases throughput without needing additional space or staff.

At the same time, storage bin management is the basis of reliable stock keeping. Only if stock is held not just per item but per bin can a perpetual inventory be implemented, in which individual bins are counted during ongoing operations instead of shutting down the whole warehouse for a cut-off stocktake. Batch and serial number tracking, first-in-first-out and recalls also require that every quantity is assigned to a specific bin. The storage bin thus makes stock not only countable but traceable.

Storage bin in the ERP and warehouse management system

In an ERP or inventory management system, the storage bin is a master data record located below warehouse and storage location. Stock movements are posted against the bin: goods receipt places goods in a put-away bin, picking removes them from a picking bin, transfers move quantities between bins. This way the system stock reflects not only the total quantity per item but its spatial distribution. Via mobile scanners, these postings are triggered right at the rack, so the book stock follows the physical stock in real time.

Simple ERP systems often hold stock only down to the storage-location level and forgo individual bins. For more complex warehouses, a specialized warehouse management system (WMS) takes over bin control: it calculates put-away and picking strategies, manages capacities and reports stock changes back to the ERP. Whether storage bin management sits in the ERP module itself or in a connected WMS is a central question of system selection – it determines how finely warehouse processes can be steered.

An online retailer for sporting goods handles several hundred orders a day from a warehouse with around 8,000 items. Initially, items were assigned only to a rough rack area; workers had to search for the exact position. As the range grew, pick times and mispicks rose, and the annual stocktake shut down shipping for two days.

After introducing storage bin management in the ERP system, each rack cell received a unique, barcode-captured address. New goods have since been stored chaotically in free bins, with the system remembering every position. Picking follows a route-optimized pick list from the scanner. The result: roughly a third shorter pick times, far fewer misdeliveries and a perpetual inventory that counts individual bins during ongoing operations – the cut-off stocktake with an operational shutdown is eliminated.
