In short

Billbee is an affordable cloud tool from Germany for order processing and multichannel management of small retailers. It is cancelable monthly, bills by order volume (from €9/month net) and includes all features in every plan. Ideal for small to medium online retailers who want to consolidate marketplaces and shipping without a contractual commitment.

What is Billbee?

Billbee is a cloud-based SaaS tool for centrally managing and automating orders from multiple sales channels. Honestly classified, it is a specialized order-management system and deliberately not a full ERP: financial accounting, manufacturing and CRM are missing. The software is developed by Billbee GmbH in Twistetal, North Rhine-Westphalia, founded in 2015. With around 50 employees, the provider ranks among the established German specialists for order processing in online retail.

At its core, Billbee bundles multichannel order processing in one place: order import, document and shipping-label generation as well as cross-channel stock reconciliation. Flexible, rule-based automation handles recurring standard workflows, connected via more than 100 interfaces to marketplaces such as Amazon, eBay or Kaufland and shops like Shopify and Shopware. The target group is small to medium online retailers, Amazon FBA and marketplace sellers as well as D2C brands who want to centralize their orders and be quickly ready to go without a heavy ERP.

Since November 2023, Bregal Unternehmerkapital has held the majority in Billbee, while founder Jan Krause continues to act as managing director. In the DACH region the tool is widely used among smaller online retailers, but remains a specialized tool with clear limits. Billbee does not offer its own accounting, manufacturing functions or a full-fledged CRM; for GoBD-compliant bookkeeping, coupling with an accounting tool is needed. A DATEV export is available for the tax advisor.

Further cost factors (TCO)

Beyond the subscription, these items determine the total cost – we have compiled them for Billbee:

Add-on modules
All features and integrations included in all plans; with Growth, additional tools such as Amainvoice, VentoryOne and Replyco.

Support, contract & operations of Billbee

Whether Billbee proves itself in day-to-day use depends – alongside features and price – heavily on operations, support and the contract model. We have compiled how Billbee is provided, which service levels and support channels apply, under which contract and trial terms you get started, and how far the system scales with your company.

Contract & trial

Before you commit, trial period, term and exit matter: this is how you get started with Billbee – and get out again if in doubt.

Free trial
30 days free, no payment details - the trial ends automatically.
Operating model
Cloud-only (SaaS), access via browser, 24/7 availability.
Minimum term
No minimum term (contract for an indefinite period).
Cancellation
Customer: 1 working day's notice; provider: 4 weeks to the end of the month.

Support & service levels

In day-to-day operation, how well you get help matters. Billbee supports its customers through these channels, languages and response times.

Channels
Email, community chat and forum, knowledge base/help center, explainer videos, masterclass and webinars.
Languages
German and English.
Training
Knowledge base, explainer videos, masterclass and webinars; certified setup partners for setup and optimization.

Scalability & limits

An ERP should grow with the company. This is how Billbee behaves with a rising number of users, multiple tenants and at its technical limits.

Users
Unlimited user accounts per organization (in all plans).
Limits
No hard order limit; the plan is based on order volume.
Growth path
Automatic upgrade Starter → Growth after 3 months above 200 orders (remains permanently active).

Billbee in the DACH region

Compliance requirements differ by country – DATEV/GoBD in Germany, FinanzOnline/RKSV in Austria, VAT/QR invoice in Switzerland. This is how Billbee performs across the three markets:

Hosting & data protection

Cloud/SaaS from a German provider, GDPR-compliant; the specific server location is not clearly documented.

DATEV

DATEV export available; tax-advisor access via account possible (no in-house accounting).

GoBD

Only limited - not accounting software; coupling with an accounting tool needed for GoBD-compliant bookkeeping.

E-invoicing (XRechnung / ZUGFeRD)

ZUGFeRD invoice generation supported (from end of 2024/2025); XRechnung is not supported.

Language & support

German-language interface and support (praised in reviews); primarily DACH.

Onboarding & implementation

Duration
very fast: basic setup and first channel connection usually within a few hours to days
Partner
usually no implementation partner needed; setup via self-service, complemented by help center and email support
Cost
no separate onboarding/setup fees; setup included in the subscription, free 30-day trial

Billbee is designed for a fast self-start without an IT department and can be connected to shops and marketplaces at the click of a button.

Switching & migrating to Billbee

Billbee does not replace an ERP - when switching to a more comprehensive system (weclapp, Xentral, myfactory), accounting/CRM are consolidated and channel/stock data are migrated. Well suited as a lean entry point that you later outgrow.

Verdict: is Billbee worth it?

A mature, user-friendly order-management tool for small to medium online retailers with many interfaces and strong automation - but deliberately not a full ERP. Shines at the easy entry point; limits with accounting and at high order volume.

Frequently asked questions about Billbee

How much does Billbee cost?+

Billbee bills on a transaction basis by the monthly order volume and is cancelable monthly. The base fee starts at €9 per month, and costs rise with order volume (guide value about €0.06 per order at high volume). All features and an unlimited number of users are included, offered in the Starter and Growth packages. The repeated price increases, however, are criticized.

Which companies is Billbee suitable for?+

Billbee is aimed at small to medium online retailers with several sales channels, at D2C brands as well as at Amazon FBA and marketplace sellers. Typical are sole traders up to smaller teams with a few dozen to a few thousand orders per month. Anyone who wants to start quickly and connect the tax advisor via DATEV export is well served. It is less suitable for manufacturing businesses and very large retailers with extremely high order volume.

Is Billbee a full-fledged ERP?+

No. Billbee is deliberately kept lean and is a pure order-management tool, not a full ERP. It lacks true financial accounting, production/manufacturing functions and a full-fledged CRM. For an integrated overall system that covers these areas, more comprehensive solutions are needed.

Is Billbee DATEV-capable and GoBD-compliant?+

Billbee offers a DATEV export, and the tax advisor can access the data via their own account. The tool does not, however, provide its own accounting. For GoBD-compliant bookkeeping, Billbee alone is not sufficient; this requires coupling with a separate accounting software.

Does Billbee support e-invoicing?+

Billbee supports the generation of invoices in the ZUGFeRD format, rolled out from the end of 2024/2025. Billbee does not, however, support the XRechnung format. For pure invoice generation in the e-invoicing context, Billbee is thus fundamentally equipped, but does not replace accounting software.

What are Billbee's biggest weaknesses?+

The central limitation is that Billbee is not a full ERP: no true accounting, no manufacturing, no CRM. Reporting turns out rather basic and customization is limited. In addition, there is no full-fledged mobile app. The repeated and sometimes significant price increases are also viewed critically.

Billbee or a more comprehensive alternative?+

Billbee is excellently suited as a lean entry point for multichannel retailers, but one that you may outgrow as the business grows. Anyone who needs an integrated full ERP with accounting and CRM should reach for more comprehensive systems like weclapp, Xentral or myfactory. When switching, accounting and CRM are consolidated and channel and stock data are migrated.
